Cubic, Cubic Removals Manager and Cubic Move are run by Brad Davis and Sara Welch from Suite 101, Queens House Business Centre, Queen Street, Barnstaple EX32 8HJ. Legally the business is a sole trader business owned by Bradley Davis. Contact us at support@cubicremovalsmanager.com. We are the data controller for all information collected through cubicremovalsmanager.com and related services including Cubic Move.

We are registered with the Information Commissioner's Office (ICO) under registration number ZC161270.

Account data: Name, email, company name, phone number and password when you register or request access.

Business data: Job details, customer names and addresses, quotes, invoices and other records you enter. This data belongs to you — we only process it to provide the service.

Payment data: Processed by Stripe. We do not store card details. Stripe collects billing information directly under their own privacy policy.

Usage data: Pages visited, features used, login times, and device information collected automatically for security and improvement.

Support communications: Emails or messages sent to our support team.

Interest list: If you join our interest list at /join we store your name, email, and anything else you choose to give us (company, phone, number of vans, postcode, moving date, message), plus whether you agreed to marketing emails and the exact wording you agreed to.

Cubic Move (homeowners): Your move details, home inventory (including photos you take for the AI scanner), addresses, meter readings, documents you upload and messages with your removal company.

Moving enquiries from our free tools: If you ask for quotes through a Cubic tool, we collect your name, contact details, postcodes, home size and moving date so that removal companies can quote you.

We use your data to:

• Provide and operate the Cubic Removals Manager platform • Process payments and manage your subscription • Send transactional emails (confirmations, receipts, access approvals) • Reply to people on our interest list, and send updates only to those who opted in • Share moving enquiries with removal companies on Cubic that cover your area, where you asked for quotes through our tools • Run AI features you choose to use, such as identifying items from your photos • Respond to support requests • Improve the platform based on usage patterns • Comply with legal obligations (UK tax and financial regulations)

Moving enquiries: If you ask for quotes through our tools, we share your move details (name, contact details, postcodes, home size and moving date) with removal companies on Cubic that cover your area, and they pay us a fee for each enquiry. We can't guarantee that a company will contact you. We do this because you asked us to — our lawful basis is taking steps at your request before entering into a contract. We don't sell your data for any other purpose.

We do not use your data for advertising.

Under UK GDPR we process your data under:

Contract performance: Processing necessary to deliver the service you purchased. Steps at your request: Sharing a moving enquiry with removal companies on Cubic when you ask for quotes through our tools. Legitimate interests: Security monitoring, fraud prevention, platform improvement. Legal obligation: UK tax and financial record-keeping requirements. Consent: Optional analytics and marketing communications — you can withdraw consent at any time.

We share data only with:

• Stripe — payment processing • Supabase — database hosting • Vercel — website and app hosting • Resend — sending emails • Anthropic — AI features (for example identifying items in inventory photos). Photos and text are sent only when you use an AI feature and are not used to train AI models • Upstash — security rate-limiting • Google — analytics (only with your cookie consent) and Google Calendar sync if you connect it • QuickBooks / Xero — only if you connect your accounting software • Expo — app push notifications if you turn them on

Some of these providers process data in the United States. Where they do, we rely on the UK–US data bridge or the ICO's International Data Transfer Agreement / Addendum to protect your data.

We do not share your business data (jobs, customers, quotes, invoices) with any other third parties. Moving enquiries you send through our tools are shared with removal companies on Cubic that cover your area so they can quote you. Those companies pay us a fee for each enquiry.

If you sign in with Google, we receive your name, email address and profile picture from Google and use them only to create and sign you in to your account.

If a removal company connects Google Calendar, Cubic creates one separate calendar in their Google account called "Cubic jobs" and adds, updates and removes their removal jobs on it (date, time, customer name, addresses, vehicle and crew). Cubic can only see and change that one calendar. It cannot read, change or delete any other calendar or event in their Google account.

We store the connection tokens securely on our servers only, never in your browser, and we never sell Google data, use it for advertising, or use it to train AI models. You can disconnect at any time in Settings → Integrations, which deletes the stored tokens straight away, or remove access in your Google Account settings.

Cubic's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data is retained while your account is active. On cancellation:

• Data retained for 90 days to allow reactivation • After 90 days, personal data deleted from active systems • Financial records retained 7 years as required by UK law • Interest list entries are kept for up to 24 months after your last contact with us, or until you ask us to remove them • Request immediate deletion: support@cubicremovalsmanager.com

You have the right to: access, correct, delete, restrict, and port your personal data, and to object to certain processing. Email support@cubicremovalsmanager.com to exercise any right — we respond within 30 days. You may also complain to the ICO at ico.org.uk (our ICO registration number is ZC161270).

Essential cookies: Required for login and security. Cannot be disabled. Analytics cookies: Google Analytics to understand usage. Opt out via our cookie banner.

We do not use advertising or tracking cookies.

We protect your data using TLS encryption in transit, encrypted database storage, row-level security, and regular security reviews. No system is completely secure — we cannot guarantee absolute security but we take every reasonable measure.

We may update this policy. We will notify you of significant changes by email or in-app notice. Continued use after changes constitutes acceptance.
